Job Purpose
To act as Personal Assistant to the Global HR Director and to provide HR administrative support to the team and business.
Main Duties and Responsibilities
PA
• diary management ensuring correct priority when scheduling appointments and good communication on arrangements with all parties concerned;
• screen incoming phone calls, mail and visitors to the Global HR Director, and ensuring all queries, requests and correspondence are dealt with promptly and appropriately;
• work closely with and proactively build good working relationships with management and their personal assistants;
• process expenses and organise all travel arrangements;
• meet and greet external visitors from reception, providing refreshments where appropriate;
• providing a high level of internal and external customer service;
HR Administration
• daily use of SAP for checking employee information and updating records;
• first point of contact for queries to the HR department on HR issues, including payroll, policy and procedure;
• conduct maternity and exit interviews as appropriate:
• deliver monthly HR Inductions to new joiners;
• preparation and processing of HR documentation including employment contracts and changes to terms and conditions;
• co-ordination of Pearson benefit programmes including; WWSFS, LTIPS, ABSM, Healthcare and Dental;
• monthly payroll processing support including liaising with payroll team in Harlow and Manila, and ensuring accuracy of monthly payroll;
• organise and facilitate the annual Children’s Xmas party;
• general team administration including filing, ordering stationary, organising team events and meetings
• supporting SAP data analyst with maintenance of accurate employee data on HR/payroll system.

• highly organised with an ability to plan and prioritise;
• IT Literacy including Microsoft Office (Word, PowerPoint, Excel);
• PA/Secretarial experience.
Preferred
• experience of SAP payroll system and Lotus Notes;
• awareness of HR best practice, policy and payroll processes.
